Inviting staff, setting permissions and tracking hours

Roles with permissions, an invitation by code, a PIN for approvals on the floor, and the time clock.

Roles first, people second

Go to Staff. Permissions are set per role, not per person: you create a Floor role and a Manager role once, then assign people to them. Alongside the system roles (Owner, Manager, Staff, Admin, Supervisor, Cashier, Kitchen, Bar) you can build your own with New role.

As the owner you always hold every permission. You cannot edit your own role — which stops you locking yourself out by accident.

Inviting someone

  2. 2Fill in email address, first name and last name.
  3. 3Choose the role and the default location.
  4. 4Tap Create invitation.

You get an invite code and an invite link, both copyable. Pending invitations shows what is still outstanding and until when it is valid, and lets you revoke one if somebody does not turn up after all.

The staff PIN

Every staff member can be given a PIN of 4 to 6 digits, through Set PIN on their profile. That PIN is used for approvals on the POS — approving a discount, or removing a line from a saved table order — and for clocking in and out.

The list shows per person whether a PIN is set (PIN ok) or not (No PIN).

Which permissions exist

The ones that matter in practice: edit orders, process payments, process refunds and returns, apply and approve POS discounts, reprint receipts, manage cash, manage tables, and view reports or revenue on the dashboard. Each permission is explained in Adding staff and setting permissions.

Give View revenue on dashboard a moment's thought. Not every venue wants floor staff to see the day's takings, and it is a single checkbox.

Hours

Under Hours are the clock-in and clock-out times per week. Staff clock in on the POS with their PIN; here you keep an eye on it and correct what went wrong — a forgotten clock-out is fixed in seconds.

Managing staff and roles is limited to the owner, an admin or a manager.
